Tutoring
What you can expect from me
All online tutoring sessions are carried out by myself, Meenakshi Sharma, in 45-minute sessions. I use the Zoom video conferencing platform and will send a secure link to you to gain access to the session. I use appropriate security measures including the waiting room feature in Zoom to protect against unauthorised access and to ensure the privacy of the learner. I offer the following:
- Personalised assessment, tutoring and advice for maths or English
- Use of the resources on the website via the 'shared screen', annotation, whiteboard and other interactive tools that Zoom provides
- A safe and respectful learning space where you and/or the learner can ask questions freely
- Professional conduct and punctuality for every session
- Clear communication if anything needs to be adjusted
What I expect from parents/carers
- A quiet space and working device for the learner during the session
- As much information as possible about the learning needs
- Payment at the time of booking
- Supervision as appropriate based on the learner's age and maturity
- Avoidance of distractions such as eating and background noise
How adhoc sessions work
- Each session is booked individually - there's no on-going commitment
- Session times are confirmed once payment is received
- I'll always make the most of our time but late arrivals don't extend the session
- I will provide written feedback after the session detailing the work done and advice given but sessions cannot be recorded
Ending the arrangement
- Since sessions are adhoc, there's no longterm contract
- Either of us can choose not to book future sessions
- Any unpaid fees must be settled before booking again
Limits of Responsibility
I'll always give my best tutoring and advice, but I can't guarantee specific academic outcomes.
Cancellations & Rescheduling Policy
- Please give notice (of at least 24 hours) if you need to cancel or change the time
- If less than 24 hours notice is given the full rate for the planned session will be charged (unless otherwise agreed with Meenakshi Sharma)
- If 30mins has passed, and you have still not arrived for the session, the session will be cancelled and the full tuition fee of the session will apply (unless otherwise agreed with Meenakshi Sharma)
If I ever need to reschedule, I'll give you as much notice as possible. If for any reason, it is less than 24 hours, you are entitled to a refund if you decide to cancel the session
Payment Policy
- Payment of £30 is required prior to each 45 minutes tuition session (unless otherwise agreed in writing with Meenkashi Sharma)
- Payment is through bank transfer to Meenakshi Sharma's account (details will be given at time of booking)
- Refunds follow the cancellation and refunds policy
- Rates may change, but I'll always let you know before you book
- Follow up bookings can only occur if payment has been made for previous bookings
Technology policy
- Both you and I are responsible for maintaining the security of our devices by using up-to-date antivirus software, firewall protection, and regular software updates
- Please ensure your device and internet connection are working before the session
- I can't be responsible for technical issues on your end and if they arise I reserve the right to charge for the full session
- If I have a technical issue I will reschedule the remaining time on the call with you - to take place as soon as possible after the call
Safeguarding policy
I have an enhanced DBS which is updated annually. The online tutoring session is solely for educational purposes and any inappropriate use, is strictly prohibited. To facilitate child safety please note the following points:
- Tuition should ideally take place in a communal area, with doors open
- Parents/carers can also remain in the same room where tuition takes place
- Appropriate clothing should be worn by all involved
- All involved should be seated when on the call
- Any suspected or observed violations of child safety should be reported to the appropriate authorities.
- In the event of a reported incident, I will cooperate fully in any investigations or actions taken to address the situation
Privacy policy
- The personal information I will have access to is your name, email address and any email messages between us
- I will use reasonable measures to keep this information secure including using secure passwords, 2-factor authentication, software updates and regular security assessments
- Your information stays private and is only used for lawful tutoring purposes such as understanding the tutee's needs, scheduling sessions, facilitating payment and giving feedback about the session
- I do not sell or rent personal information to third parties for marketing purposes.
- I will not share any details with anyone else unless required by law as specified in GDPR
- I retain data for 6 months so if there are any follow-up sessions I have a record of work done and advice given and after that time the data will be deleted
- Under applicable data protection laws, you retain rights regarding your personal data which you are free to exercise
- While I will make every effort to safeguard your data, you acknowledge that that no method of transmission over the internet or electronic storage is 100% secure, and I cannot guarantee absolute security
- In the event of a suspected or confirmed data breach, I will immediately take steps to promptly assess what data has been, or may have been, compromised and to inform you of the data breach
- I will take any measures that may be necessary in order to prevent compromised data being used by an unauthorised third party
- If you are unhappy with how I handle your personal data, you also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at www.ico.org.uk
These Terms and Conditions may be updated if there are any changes to the service provided or for legal requirements. Whenever this happens, the revised version will be posted on this page. The date of the most recent update will always be shown so you can see when changes were last made.
By continuing to book a session, including after any updates are posted, you are confirming that you have read, understood and agree to follow whatever the current Terms and Conditions are for tutoring sessions.
